• Organisation & buyer details — organisation name, department or unit, contact person and designation.
• Contact details — email address, phone number and delivery location.
• Requirement details — the products, quantities, certifications, brand preferences, specifications, branding requests and any notes you include on an RFQ or enquiry.
• Correspondence — messages you send us and our replies.

We do not collect payment card details through this website, and we do not knowingly collect special categories of sensitive personal data.

• To prepare and send you a quotation in response to your RFQ.
• To process, confirm and fulfil orders and deliveries.
• To contact you about your request and provide customer support.
• To keep records for accounting, tender and compliance purposes.
• To improve our products, service and website.

We do not sell your personal information, and we do not use it for unrelated marketing without your consent.

We process your information to take steps at your request before entering a contract (preparing a quotation), to perform a contract (fulfilling an order), to meet our legal and tender obligations, and on the basis of our legitimate interest in operating and improving our business — always balanced against your rights.

• Hosting — our website and secure database are hosted on managed cloud infrastructure (Vercel and a managed PostgreSQL provider).
• Email — quotation notifications and acknowledgements are delivered via an email service provider.

We may also disclose information where required by law, regulation or a valid request from a competent authority.

Some of our service providers may store or process data on servers located outside Botswana. Where this happens, we take reasonable steps to ensure your information remains protected by appropriate safeguards and confidentiality commitments.

This website does not use advertising or third-party tracking cookies. We use a single secure session cookie only for staff who log in to our internal quotation dashboard; it is essential for that login and stores no personal browsing data about visitors.

We keep RFQ and order information for as long as needed to serve you and to meet our accounting, tax, tender and legal obligations, after which it is securely deleted or anonymised. You may ask us to delete your information sooner where we are not required to keep it.

Data is transmitted over encrypted (HTTPS) connections and stored in an access-controlled database. Access to RFQ records is restricted to authorised Swetwise staff. While no system can be guaranteed perfectly secure, we take reasonable technical and organisational measures to protect your information.

Subject to applicable law, you may request to:

• access the personal information we hold about you;
• correct information that is inaccurate or incomplete;
• have your information deleted where we are not required to retain it;
• object to or restrict certain processing; and
• lodge a complaint with the relevant data protection authority.
